Privacy Policy

Effective date: September 1, 2026
Last updated: September 1, 2026

This Privacy Policy describes how RichBot9000 (“RichBot 9000,” “we,” “us,” or “our”) collects, uses, and shares information when you use richbot9000.com, the RichBot 9000 web app, related APIs, voice and SMS services, meetings, merchandise checkout, and other products we operate (together, the “Services”).

Questions: support@richbot9000.com or 866-594-7659. Related terms: Terms of Service.

1. Information we collect

We collect information you provide, information generated by use of the Services, and information from processors who help us operate.

  • Account data: name, email address, phone number, password, role, and verification status.
  • Workspace data: contacts, lists, surveys, appointments, projects, tasks, documents, notes, scripts, feeds, assistants, tools, and similar records you or your organization store.
  • Communications: chat messages, emails, SMS content, call audio, voicemail, meeting recordings, transcripts, captions, and related metadata (time, participant identifiers, delivery status).
  • Device and remote-bot data: check-ins, commands, uploaded media, and connection status from devices you enroll.
  • Technical data: IP address, browser and device type, timestamps, logs, cookies, and similar identifiers needed to run the site and keep sessions secure.
  • Payment data: merchandise orders and billing details processed by Stripe. We do not store full payment card numbers on our servers.
  • Integrations: tokens and data you connect through Twilio, OpenAI, Ollama, email, MCP servers, or other third-party tools you enable.

2. How we use information

We use information to:

  • Create and authenticate accounts, including email and SMS verification codes.
  • Provide AI assistants, voice agents, phone trees, surveys, meetings, file handling, and other features you request.
  • Send service, security, and (only if you opt in) notification messages by email, SMS, or voice.
  • Process merchandise orders and related customer support.
  • Maintain security, prevent abuse, debug, and improve the Services.
  • Comply with law and enforce our Terms of Service.

Content you submit to assistants, voice sessions, or connected models may be processed by those models to generate responses. Do not submit secrets or data you are not authorized to process.

3. SMS, voice, and mobile information

Mobile information is not sold or shared for marketing. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties, other than to providers that help us deliver the messaging program (for example, our SMS gateway).

Message frequency varies. Message and data rates may apply. Reply STOP to cancel. Reply HELP for help.

We collect phone numbers when you:

  • Register an account or verify your number.
  • Opt in on our notification opt-in page.
  • Add a contact or start an SMS, voice, or survey campaign that you are authorized to run.

We use phone numbers to send verification codes, account notices, and other messages you or your organization request. Recipients may opt out of SMS at any time by replying STOP. Reply HELP for help, or email support@richbot9000.com. We honor opt-outs promptly and keep only what we need to suppress further marketing or notification messages.

Voice calls and meetings may be recorded or transcribed so the Services can operate (for example, voicemail, captions, or assistant context). If your use case requires a recording notice or consent, you are responsible for providing it to participants.

4. How we share information

We share information only as needed to run the Services:

  • Service providers: hosting, email, SMS and voice (including Twilio), AI model providers, payment processors (Stripe), and similar vendors under contract.
  • Integrations you connect: MCP servers and other tools you authorize may receive the data required to fulfill a request.
  • Your organization: workspace members and admins may see data according to roles you configure.
  • Legal: if required by law, legal process, or to protect rights, safety, and the Services.
  • Business transfers: in connection with a merger, acquisition, or similar transaction.

We do not sell personal information. We do not share personal information for cross-context behavioral advertising.

5. Cookies and similar technologies

We use necessary cookies and local storage for login sessions, CSRF protection, and remembering UI preferences. We do not use third-party advertising cookies on the Services.

6. Retention

We keep information for as long as your account is active, as needed to provide the Services, and as required for legal, security, or dispute-resolution purposes. If you opt out of SMS, we retain the minimum data needed to honor that opt-out. Call recordings, transcripts, and logs may be retained according to product settings and vendor retention windows.

7. Security

We use reasonable administrative, technical, and physical safeguards, including encrypted transport (HTTPS), access controls, and authentication. No method of transmission or storage is completely secure.

8. Your choices and rights

  • Update account profile information in the app.
  • Opt out of SMS (STOP) or email (unsubscribe / support request).
  • Request access, correction, or deletion of personal information by emailing support.
  • Disable optional integrations you previously connected.

Depending on where you live, you may have additional rights under applicable privacy law. We will not discriminate against you for exercising those rights. Authorized agents may contact us at the email above.

9. Children

The Services are not directed to children under 13, and we do not knowingly collect personal information from children under 13.

10. International users

We operate in the United States. If you use the Services from another country, you understand that your information may be processed in the United States and other locations where we or our providers operate.

11. Changes
